Restore files to new computer

Last week you saw how easy it was to get a deleted file back with Soonr. That’s great if you are sitting at a computer when the problem occurs, but what if you lost the whole computer? Unfortunately this is not an uncommon occurrence. Whether the hard drive crashes or your laptop is lost or stolen while travelling, you may find yourself without any of your files!

Once again, Soonr makes it easy to get your data back and even keep working in the process! In this post well cover the “DefCon 4” use case where your computer is stolen while you are on the way to visit a client. Your computer/laptop contained all your presentations and documents that you were working on with your team. What do you do?

First: Deliver the presentation anyway

Soonr has backed up all your documents and has fully rendered copies that can be displayed in any browser. When you arrive at your client’s office, ask to use any computer and log into your account to view the presentation.

Second: Disable access from the stolen machine

Log into your Soonr account and find the computer in BACKUPS section of the Dashboard. When you mouse over the machine, you’ll see an option for “lost computer”. Click on that and verify that you want to disable access to your online Soonr account from that computer.

Third: Restore your folders

Only Soonr lets you restore your data to a remote machine. Before you leave your client’s office, you can start restoring files back to a computer at your main office or home. Just find the folder of files that you want to restore and choose the “restore” option.

You’ll then be guided through a few steps to determine which computer and directories the files will be copied into. If you want, you can track the progress of the restoration in the computer details screen. After the restore is completed, you can even choose to get an email or SMS notification!

Notice you can target any computer associated with your account. If your team needs to update a proposal after the client meeting, just restore the necessary files to a machine in the office. They can get to work immediately.

Final step in the restore wizard is to choose the restored files location

When you get a new computer, you need to install the Soonr agent on that machine (so that it’ll appear as a choice on the computers to target) and then restore the necessary folders or files to your new machine.

Help, I accidentally deleted a File!

Have you ever deleted a file by accident and needed to get it back? Soonr users have several ways to protect themselves if this unfortunate event occurs. In most cases, you realize that a file you deleted was important just as you click the delete key or confirmed the confirmation dialog, and you get that sinking feeling that you just lost your work. What do you do?

Do you go to an earlier backup image and restore the file? But wait, most backup solutions can’t help you if it’s a new file because the backup interval hasn’t occurred yet. Not if you are protected by Soonr! Using Active Backup, you get near real-time protection. There are two ways to get your file back and we’ll cover one of them in this post.

Fastest way – Locate your deleted file and download it.

The first way is simple and it is the fastest. Go to the folder where the deleted file used to be located, choose to display it, and then download it. In this example, we are looking for Photo4.PNG in a 6 photo sequence of Soonr running on an iPad. We mistakenly deleted the 4th photo and need to get it back. Here are the steps:

1) Navigate to the folder where the photos are located.

2) Use the Action menu and choose to “show deleted” files.

3) Notice that Photo4.PNG is now visible and that its title is grey to indicate that is it a deleted file.

4)      Using the Action menu for the file, choose the “download” option.

That’s it! You will have your file back.

Note that this is a download function so you may want to put the file back in its’ original location if you want the backup and deleted file protection to remain active. If you save the file somewhere outside its original location, it may not get automatically backed up depending on your settings.

The next post, we’ll take a look at RESTORING the file to its original location from a previous backup set. The process has few extra steps, buts it’s just as easy to bring back a file from the dead!

Send, Link or Share?

Soonr offers three different ways for you to show a file to other people. In the action menu for each file are the Send and Create Link options. In your Project folders the additional option to Share appears. So what is the difference between these three options and when would you pick one over the other?

 

First we need to understand a few variables – bandwidth, interaction and privacy. In each of the options Soonr offers something special to make the experience a little better. Let’s examine each variable and see how it would affect your decision.

BANDWIDTH:

Upon first inspection, you may think to yourself, “What does my bandwidth have to do with anything?”. It is not your bandwidth that we are concerned with, it is the bandwidth of the recipient. Soonr will always make things as efficient as possible. When someone receives your invitation to interact, only the smallest possible bits of data are sent over the air. Soonr will optimize the pages in a presentation or pictures in a folder so that the recipient can have a good experience even on a mobile phone. A link or share is the most efficent bandwidth option.

INTERACTION:

What do you expect the recipient to do with the file(s) sent? Are they just going to look over it or perhaps they will add a few comments? Will they need to download the entire file and make changes to send back to you? Will the file be circulated to many people working together on a project? Sharing is the best interaction option.

PRIVACY:

Is the file a sensitive document that should only be accessed by key individuals? Does it need to be password protected or is it ok for anyone with the weblink to see it? Is the file a basis for collaboration where many people will comment and change it?

So now that you know what the variables are, let’s look at the SEND, LINK, and SHARE options.

SEND:

This option can be applied to any file that is backed up or any file in a project. The recipient will get a conventional email in their inbox with a file attached. If you send this to multiple people, each will get a copy of the file. What Soonr adds is that you do not have to upload the file to the mail server to relay it along to the recipients. The mobile phone or web browser you are using to access your account is simply a remote control. You are instructing the Soonr service to create the mail and forward the file. If you are on a mobile phone, sending along a large multiple megabyte presentation becomes a simple task that doesn’t consume huge amounts of bandwidth. The interaction model is like regular email. Unless you keep copies of past emails, it’s difficult to track the history or changes made to the file. Furthermore, the privacy level is the same as your email system. Send works, but is a basic file transferring method. We can make it better!

LINK:

Link is one step above Send and hardly uses any bandwidth. Soonr will create a URL (Web Link) to the file that you can send along to anyone. The recipient will get to take advantage of the rendering abilities of Soonr to see over 50 file types without downloading the file. If they need the original file they can download the file. The Link option doesn’t offer much interaction with the file outside of a download or the ability to resend the link to someone else. You can’t really track activity beyond whether or not the file was accessed and how many times. As for privacy, Soonr allows you to assign a password to the file and also determine the lifespan of the link. The link can “die” in a day or not at all. You can choose what works for you. However, users can forward the link to anyone they want. You don’t have a lot of control over its distribution.

SHARE:

Share is the most unique option as it offers all the advantages of the previous options, but also includes a multitude of collaboration capabilities. Shares can be applied to Project Folders and the files they contain. Like the Link, a Share is very efficient as only a web URL is  sent to the recipients. The interaction model is VERY rich. Users can leave comments and notify each other of changes. Full version control for individual files are active so that changed files do not overwrite previous edits. User may have the ability to forward the shares to others or invite additional participants to collaborate. Sharing even includes the ability to notify mobile users of changes via SMS when their computers are not on. Finally, the privacy level of a share is very high. Only users that are part of your Team (Company) or invited guests can access a Share. All users must log into their accounts to see the share and furthermore, they only have access to the share if they are invited. As an administrator, you can decide who has access to the Share and what their rights are.

Sharing a Project is the most powerful way to collaborate

Whether you choose to Send, Link, or Share, Soonr offers the most efficient way to show files to others. Everything that you have backed up is available to you, and with Project Folders you can even include files from multiple machines and/or multiple people in a shared workspace. Explore the many options for collaborating online with your account. All this is available even when you are using a mobile phone with limited bandwidth. Ditch the antiquated method of copying and relaying files via email. There’s a better way to do get things done Soonr!

Did you know that Soonr can change the mobile UI based on the device used to access it? Ever since its inception our service has had a focus on mobile devices. It’s one of the things that make Soonr so unique. Today we can recognize over 817 different types of devices that access the system with a mobile browser. In many cases, we optimize the user experience based on the kind of device you are using. If you’ve ever tried Soonr on a Windows Mobile, BlackBerry, S60, iPhone or Android phone side by side, you’ve probably noticed the interfaces are slightly different in subtle ways. Each takes advantage of the uniqueness of the browser.

About a year and a half ago, we introduced the first native Soonr application for the iPhone. It has been very well received and gave capabilities never before seen on a mobile phone. Last year the Android phones came to play. One of the major features of the Android OS was its openness. Android was designed for developers to be able to add functionality and we quickly took advantage of this to enable upload and download of files to the phone.

You see, the iPhone has a pretty closed file system. You can’t easily write to or retrieve files from the phone’s memory without going through a very strict program interface. Android is different. Programs have direct access to the storage on the phone. Because of this, it’s easy to download files onto the phone and also upload photos from the phone. We’ve taken advantage of this in the Soonr native application for Android.

Note the "Download" option for the file. You only get this in the Android native applicaiton, not the iPhone.

This is especially useful for cases where you might want a document for offline viewing. Maybe when you are on a plane you’d like to look over a presentation or a sales proposal. With the Android application for Soonr, you can download those to your phone and look them over in places that you don’t have any kind of internet connection. This adds a new level of flexibility to business and personal users alike.

Yeah, you’ve heard that before, but we will prove it with actions. This week, you will see a major enhancement in your Soonr Dashboard when you login with your computer browser. It’ll be easier than ever before to understand at a glance, how your data is protected and who is working with you on your projects. Here’s a peek at the new Dashboard along with a partial list of the enhancements that come along with it.
