Personalize Your Collaboration Effort

Today we will cover another of the advantages of using a Soonr Pro account. With a Pro level account, you will be able to customize the branding of the shares for your team members and guests. We know how hard you work to establish your company name. Now you can re-enforce your brand when you share folders and files with team members and guests that are collaborating together.

Setting up your brand is easy using the Settings | Team Branding option in Soonr. After you log into your account as an administrator, navigate to the Settings tab and then click on the Team Branding option along the left.

Here are the first four (4) areas where you can extend your brand.

The first is your company logo. You can choose any graphics file that is in the proper (72 x 35) dimensions. The reason it has to be exact is that it will fit into the tab in the upper left of each page. Use any graphics editing program to re-size your logo if necessary.

The Support area will enable you to customize your support options and messaging to your team members or guests. They will see this whenever they are in the settings area of Soonr.

Registration Email Sender name will appear in the invitations to collaborate that come from Soonr. When you create new users the invitation is automatically sent to them with brief instructions.

The Event Email Sender will appear whenever something happens that generates an email to a team member. Typical things are notifications of file changes, comments, or shares.

Rolling down the page, you’ll see the custom login page options.

You can give your Team any name you want in the Team Name area and also include a logo for visual reinforcement.

Create a custom login experience for your team!

After you define the elements, be sure and click on the “Open Login page” link to get the URL for your custom login page. This is what you will send to your team members.

Now when you share files and folders to collaborate with others, you will get a custom branded experience! This is another of the many reasons to go with a Soonr premium account for your business. Managing Online Storage Folders:
Actually, You already know how to do this since it’s integrated with the operating system. In the example below, you can see that cloud drive T: is set up on the computer named “VAIOZ-SERIES”. The File Explorer is on the left, and you can see how it directly maps to the Soonr account in the Web Browser. All your computers and projects will appear in File Explorer as if they were local.

Editing with Cloud Drive:
When you are looking at the files in a folder, you can use the action menu and select “Edit with Cloud Drive“. This will automatically launch the application on your computer and open the file from the online folder. You can edit using the native application and when you save, it’ll automatically save back into the online folder and push the changed file to its original location. Also in the background, the version control will make a snapshot of the older file. All this and you don’t have change anything you do today. You can edit from a remote computer and still maintain all changes on the original computer.

Effortless Collaboration:
Imagine being able to edit your files on your desktop just as you do today, except that when you save them, they are automatically saved online, made viewable by over 817 mobile devices, and available even when your computer is offline! Your team members will automatically be notified when you make changes and if they leave comments on the file, you will be notified by email and even SMS if you prefer.

Finally, any and all changes are automatically version controlled. You get all these benefits working on files just like you do today on your local machine.

Your Soonr desktop software has a tab called Cloud Drive. On this tab you can define what drive letter you want to assign to the drive, the default is “T:”. You can can also control whether it’s automatically activated when connected to your Soonr service. There’s a button where you can launch Cloud Drive directly from the agent.

What are online Project Workspaces?

One of the major new enhancements in Soonr 3.0 is the online Project Workspace. This area contains special folders that reside in the “cloud” and can be shared with your co-workers or guests. Online Projects are different from the folders on you computer that are being backed up in the Computers tab in Soonr.

It’s Not Just a Backed Up Folder
Unlike your computer folders, Online Project Folders can contain files from different sources. They can be from different computers (Mac or PC) or they can be from different users. All the related documents that your team is working are in one easy to access location. Getting a file or folder into a Project is also very easy. You can use the drop down menu and choose Copy to Project, you can upload a file using the browser, or you can even email a file into the folder as an attachment.

What can you do with it?
So now that you’ve got all the related files into one spot, what can you do with them? Everything! All of the web services that Soonr offers are automatically applied to the Project Folders. Documents are available for remote access with rendering for 817 different devices! You can choose to comment, print, fax, or share any folder or file. You can even create a guest account so that people who are not part of your company can still participate in a Project.

Email documents and photos into your Project

Soonr introduced online Project workspaces as a great way to organize information that you need to keep together to accomplish a specific task. Whether that be something that you are working on by yourself or with a team of people, an online project workspace is the ideal way to keep what you need together and available for collaboration. It’s always there when your team needs it and it offers a slew of web services for any document that is in the workspace.

Populating Projects
There are several ways to populate a project in Soonr. Each method has unique advantages, and only Soonr lets you directly copy files from your computers that are backup up in the cloud. Files can come from a variety of computers and even from email attachments. When you are at the file or folder that you would like to copy into a project, just use the pull down menu to select the “Copy to Project” option.

Email a File into the Project
Email seems to be the default “poor man’s” collaboration. Now Soonr makes it easy to get those attached documents into any project. Look on the bottom of each project page for the email address of that project.

Email to Project address is at the bottom of each Project page.

All you have to do is “cc:” your project when someone sends you a file attachment and the file will get routed to the right place. It couldn’t be easier!
