Send, Link or Share?

Soonr offers three different ways for you to show a file to other people. In the action menu for each file are the Send and Create Link options. In your Project folders the additional option to Share appears. So what is the difference between these three options and when would you pick one over the other?

 

First we need to understand a few variables – bandwidth, interaction and privacy. In each of the options Soonr offers something special to make the experience a little better. Let’s examine each variable and see how it would affect your decision.

BANDWIDTH:

Upon first inspection, you may think to yourself, “What does my bandwidth have to do with anything?”. It is not your bandwidth that we are concerned with, it is the bandwidth of the recipient. Soonr will always make things as efficient as possible. When someone receives your invitation to interact, only the smallest possible bits of data are sent over the air. Soonr will optimize the pages in a presentation or pictures in a folder so that the recipient can have a good experience even on a mobile phone. A link or share is the most efficent bandwidth option.

INTERACTION:

What do you expect the recipient to do with the file(s) sent? Are they just going to look over it or perhaps they will add a few comments? Will they need to download the entire file and make changes to send back to you? Will the file be circulated to many people working together on a project? Sharing is the best interaction option.

PRIVACY:

Is the file a sensitive document that should only be accessed by key individuals? Does it need to be password protected or is it ok for anyone with the weblink to see it? Is the file a basis for collaboration where many people will comment and change it?

So now that you know what the variables are, let’s look at the SEND, LINK, and SHARE options.

SEND:

This option can be applied to any file that is backed up or any file in a project. The recipient will get a conventional email in their inbox with a file attached. If you send this to multiple people, each will get a copy of the file. What Soonr adds is that you do not have to upload the file to the mail server to relay it along to the recipients. The mobile phone or web browser you are using to access your account is simply a remote control. You are instructing the Soonr service to create the mail and forward the file. If you are on a mobile phone, sending along a large multiple megabyte presentation becomes a simple task that doesn’t consume huge amounts of bandwidth. The interaction model is like regular email. Unless you keep copies of past emails, it’s difficult to track the history or changes made to the file. Furthermore, the privacy level is the same as your email system. Send works, but is a basic file transferring method. We can make it better!

LINK:

Link is one step above Send and hardly uses any bandwidth. Soonr will create a URL (Web Link) to the file that you can send along to anyone. The recipient will get to take advantage of the rendering abilities of Soonr to see over 50 file types without downloading the file. If they need the original file they can download the file. The Link option doesn’t offer much interaction with the file outside of a download or the ability to resend the link to someone else. You can’t really track activity beyond whether or not the file was accessed and how many times. As for privacy, Soonr allows you to assign a password to the file and also determine the lifespan of the link. The link can “die” in a day or not at all. You can choose what works for you. However, users can forward the link to anyone they want. You don’t have a lot of control over its distribution.

SHARE:

Share is the most unique option as it offers all the advantages of the previous options, but also includes a multitude of collaboration capabilities. Shares can be applied to Project Folders and the files they contain. Like the Link, a Share is very efficient as only a web URL is  sent to the recipients. The interaction model is VERY rich. Users can leave comments and notify each other of changes. Full version control for individual files are active so that changed files do not overwrite previous edits. User may have the ability to forward the shares to others or invite additional participants to collaborate. Sharing even includes the ability to notify mobile users of changes via SMS when their computers are not on. Finally, the privacy level of a share is very high. Only users that are part of your Team (Company) or invited guests can access a Share. All users must log into their accounts to see the share and furthermore, they only have access to the share if they are invited. As an administrator, you can decide who has access to the Share and what their rights are.

Sharing a Project is the most powerful way to collaborate

Whether you choose to Send, Link, or Share, Soonr offers the most efficient way to show files to others. Everything that you have backed up is available to you, and with Project Folders you can even include files from multiple machines and/or multiple people in a shared workspace. Explore the many options for collaborating online with your account. All this is available even when you are using a mobile phone with limited bandwidth. Ditch the antiquated method of copying and relaying files via email. There’s a better way to do get things done Soonr!

Printing on the Go

Soonr allows you to print remotely through any computer that is associated with your account. If you are traveling in Europe and want to print a hardcopy of a document for your “peeps” back at the USA office, it’s no problem. All you have to do is target your printer in the office when asked where you want to print. Soonr will send the print instruction to the connected computer and then SMS you on your phone to let you know when printing begins.

Sharing your Printer.

Did you know that you can share your printer with your team member or guests? If a visiting co-worker wants to print on the office printer, you can extend a share to them just like you do a folder. Soonr will notify your team member or guest that a shared printer is available. They need to accept the share and then the printer will appear as on option when they choose to print. To share, look in the Action menu and click on the “Default Printer” icon under your computer’s icon on the “Computers” tab.

Just like folder shares, shared printers need to be accepted before they are active.

The next time that your guest tries the Print command, the shared printer will appear on the list of available options. Also note that there is an option to convert to PDF and send a link via email. This is a useful feature if there are no printers available (offline).

Available printers will be listed as choices. If they are offline, the print job will be queued until the target printer is online.

When your guest starts to print using your printer, you will get a notification. Soonr is always watching out for the security of your account and that extends to peripherals that are being used by guests or team members. In the screenshot below, a toaster popup has appeared to let me know that my friend Martin has begun printing of his expense report on my connected printer.

Print History.

All printing activity will be stored and you can quickly review the status of a print job. Click on the printer’s icon in your “Computers” tab to see the history.

Staying on top of all printjobs is easy with Print history.

Print sharing is so easy to do and has many advantages:

  • Print from your phone to any office or home printer.
  • Set up clients as guests and have them print their designs or ideas right on your printer in the office.
  • Share your printer with a visiting coworker without having to deal with network access rights.
  • No configuration or printer driver installation needed on guest printer.

Soonr’s printing features are very powerful and easy to use. It’s also one of the only options you have to print from a mobile phone! This feature is included for free with every account. Make the most of it and start printing remotely today!

Secure Sharing with “Create Link”

Sharing large files can be problematic. With graphical PowerPoint presentation, megapixel photos, videos, and documents with embedded pictures, it’s not unusual for files to grow to several megabytes in size.

Create a Weblink from any file or folder using the Action Menu.

The solution to this problem is the ubiquitous web link or URL (universal resource locator). Your Soonr account lets you create a public link with password protection (if needed) and it lets you set an expiration period so that your link isn’t out there forever. By sending a link instead of the entire file as an attachment, you will realize several advantages.

  • Reduced bandwidth usage – especially important if you are on a mobile data connection. Not only will it be easier for you to share the file, it will also be more convenient for the recipient who can choose when to retrieve the file. When they view the file, Soonr file conversion technology will help the experience become faster and work across almost any device with a browser.
  • Mail server blocking – many email system limit the size of files you can attach and will block the attachment.
  • File versions – instead of attaching a new file every time you change something, you can tell users to just visit the link again for the most recent version.
  • Optimizes disk space – instead of forcing your company or providers’ servers to store multiple versions of large files, you can have a common area that all the users will share. This effect is multiplied when you are forwarding files to a group of people for review in a project.

So why doesn’t everyone do this instead of attaching files to email? Well, it’s not normally a simple thing to do. You have to put the file somewhere that is always available (ftp site or 3rd party service), generate the link, copy it to your own email and then send it out to your recipients. This is normally coupled with an email to tell people that the link is out there. There are companies that offer just this functionality, but it’s still a multiple step process and you have to jump back and forth between your email program and the service you chose. Of course there’s an easier way!

Soonr Create Link Web Service:

Soonr’s Active Backup technology keeps a recent version of all your files up in your secure account space. You can quickly “Create Link” to any file or folder in that space and then send out a message to the recipients in one step. There’s no uploading, searching for multiple services, or jumping back and forth.

Here’s how to do it from any browser.

  1. Log into your account and locate the file to share.
  2. In the action menu and choose the “Create Link” option.
  3. Choose your optional password and expiration options.
  4. See the generated link and send.

You will have the option to copy the link to the clipboard, or to send the link via Soonr. If you choose to send the link via Soonr, it’ll remain in the secure session since you don’t have to pop out to another mail application. This is especially important of you are sitting on a remote computer (friend’s laptop, internet café, public library) that may not be your primary computer.

To send the link, enter the email addresses of the recipients and then include an optional message. Once the link is sent, you will get a confirmation screen.

All the links that you have shared in this way are listed in your systems Settings tab. There will be a Public Links option on the left hand column. You can see the details of each link in the Public Links view. If you forget the password or link you can aways return to this page and see the details. This is also a handy place to re-send the link to other users or edit the link options.

Summary:

Soonr’s Active Backup technology can make sharing of large files much easier and even extend some web services to people you share with. Since Soonr will render the pages of a document, you can send Visio diagrams or videos to anyone and they can view the file or video without the need for special decoders or the program that created the file! It’ll even work on a mobile phone so that people can be connected where ever they happen to be. So start being more efficient and save time and space at the same time. Do more Soonr.

Guests Accounts are Live!

A few weeks ago we added the ability to create guest accounts so that you can share your Projects with people who may be outside your core company team. This feature was requested by many of our users as often times companies will work with outside contractors or consultants who need to be able to provide feedback to the team.

How do I add Guests?
Adding a guest account is no different than adding a team Member, it’s just has one less decision to worry about! Here’s a quick screenshot of what you’ll see after to choose to create a “+New” member in your team from the “Settings” page.

Create a Guest Account the same way you would a Team member.

The major difference between guest accounts and team member accounts is that guest accounts are not allocated storage for backup. Normally when you add a Team member you need to allocated backup space for their files.

What can Guests do?

  • View rendered files when mobile
  • Add comments to collaborative files.
  • Download files for editing
  • Upload files for review
  • Forward files via email or URL link
  • Create new sub-folders

Guests accounts do count as a user license, so be sure and remove guests after your Project is completed. Even if the guest is no longer part of the project, the information submitted to the project will still be secured and available for the company users.
